Practical Information

Arrival Information and FAQs

Welcome to the Faculty of Life Sciences (LIFE). Below you will find some important pre-arrival information as well as some general guidelines on receiving accommodation via the Housing Department at LIFE. You must read this carefully before signing and returning your rental agreement to .

Rent

Shared Apartments or Halls of Residence

You must pay the first instalment of your rent plus the deposit of DKK 2000 as stated in your rental agreement. Payment can be made either by international bank transfer, or by national bank transfer upon arrival in Copenhagen. Please see your rental agreement for specific instructions. It is very important that you keep your receipts from your transfers and/or payments. Bring the receipt from your first transfer with you to Copenhagen. During your stay we may need it in order to clear any misunderstandings.

You are responsible for all fees added to your payment due to the international transfer. Some fees will be added late in the process and sometimes they will not be known to your home bank. These relatively small fees will, in most cases, be deducted from your deposit at the end of your stay when we calculate all your transfers.

You are responsible for paying rent for your entire stay. Make sure you understand the terms and conditions regarding your accommodation and your rent as stated in the rental agreement.

In a shared apartment or a residence hall you may pay your rent in two instalments, but you are also welcome to pay the entire rent at once. This will save you time, effort, and transfer fees.

Cancellation

Prior to Your Arrival

You have 14 days to cancel the housing offered to you in your rental agreement. Please see section “Declining this offer for accommodation” in your contract. If you neglect to do so, you will be responsible for paying one month’s rent at the residence you were supposed to occupy. The Accommodation Cancellation Form must be returned to the Housing Department via email to . You will receive a confirmation of receipt from the Housing Department.

Departure Arrangements

Full-degree Students

The Housing Department guarantees accommodation for full-degree students for two semesters only. Upon conclusion of one academic year therefore, full-degree students must depart from their residences to allow for the new incoming arrivals. We encourage that full-degree students seek alternative accommodation on their own initiative during the course of their second semester, to ensure that they have a place to stay for the remainder of their education at LIFE.

If, for any reason, you have to leave Copenhagen earlier than expected, you must pay the rent for the remaining duration of your contract.

See more information on the Departure Arrangements that must be met when leaving your residence.

Deposits

For shared apartments and residence halls, your deposit will be returned approximately 8 weeks after the semester ends. You will receive the deposit via money transfer to your home bank account and in your own currency. Therefore, please make sure to fill out the Bank Information Form before you leave. You should email it to the Housing Department at prior to your departure. We need this form and all the respective information on the form, to be able to return your deposit to you.

If for some reason we have to clean or replace anything in your room, the deposit will not be returned to you in full. The cleaning checklist will help you with an overview of what needs to be done before you leave.

Bed Linen

For all shared apartments and residence halls, duvets and pillows as well as 1 set of bed linen and 2 towels are provided by the Faculty of Life Sciences and will be in your room upon arrival. These items must be left in a bag in the room upon departure.

Your Arrival

Non-degree Students at LIFE (exchange & guest students): For non-degree students the Faculty of Life Sciences offers the First Contact (FC) service, which helps incoming international students to settle well in their new home. A current LIFE student will meet you in the airport arrival hall with a sign and guide you to your residence address in Copenhagen. Furthermore, the FC mentor will be able to show you around campus and help you in practical matters to ensure that you are prepared for initiating your studies. To arrange for pick-up at the airport as well as having your room key collected prior to your arrival, please contact to confirm your arrival date and time. Please note that this service is available only for non-degree students at LIFE.

Full-degree students at LIFE: Full-degree students will receive information on the available pick-up service directly from Study and Students' Affairs. This information will be included in your admission letter, and will also carry the relevant e-mail contact for specific questions.

SUND and FARMA: If you are to be a student or guest at the Faculty of Health Sciences (SUND) or the Faculty of Pharmaceutical Sciences (FARMA) there are no arranged arrival services set up for you via LIFE. Therefore, you should contact your institute prior to arrival, so that they can arrange for a person to collect the keys and the arrival package for you.

Telephone and Internet

Residence Halls and Shared Apartments

In residence halls and shared apartments you will have internet access. Phones are not available.

Check your email!

Make sure to check your email often. We may need to get in touch with you concerning housing issues and we often need a quick reply. As a rule, we will be corresponding via the email address that you wrote on your application form. If you wish to change or add another address, please make sure to inform us.

Questions to the Housing Department

It is important to us that you understand that inexpensive and perfectly located accommodation is very hard to find in Copenhagen. We do our very best to accommodate your preferences as outlined in your application form, but some may wonder why they were not allocated their preferred type of accommodation.

There are many reasons for this. Primarily, it is due to the fact there are only a limited number of shared flats and halls of residence available. Hence, it is impossible to give all guests their preferred type of accommodation if they want a room in a residence where we only have 25 rooms. Furthermore, good, centrally located student housing in Copenhagen is hard to find and very expensive. Another very important factor is the order in which your application form was received by LIFE and whether or not it arrived before the application deadline. Since application is on a first come first served basis, we cannot guarantee to meet your first preferences, especially not if you apply past the deadline.

Upon signing your rental agreement, we hope you understand that you have agreed to stay in the accommodation arranged for you for the entire period in question. If there are extremely unacceptable conditions with regards to your accommodation, you should of course contact the Housing Department for help.

If you have any further questions, feel free to contact us.

We look forward to accommodate you and hope that you will have a wonderful time in Copenhagen!

Sincerely,
